LIBRARY REGULATIONS
Admission to the Library
AQ Library is open to all bonafide college and graduate students, faculty, non-teaching personnel, visiting/other school researchers and alumni. All library users are subject to the rules and regulations governing the use of library resources & facilities.
How to Apply for a Library Card
New students & Transferees are required to:
- present his/her current Enrolment Form
- accomplish the Application Form
- submit 2 cps. 1 x 1 photo
*Library Cards are issued for FREE to First Year & Transferee students.
Old students may claim their library cards by presenting their current Enrolment Form at the Information/Circulation Desk.
*Library Card is NON-TRANSFERABLE.
Borrowing Policies
- Only faculty members, employees/non-teaching staff and bonafide college students of AUL are allowed to check out library materials.
- Lost library cards should be reported immediately to the Librarian or staff on duty to prevent its fraudulent use by others. Replacement for the lost cards shall be made after two (2) weeks upon presentation of an Affidavit of Loss plus a fee of P40.00 (paid directly at the Controller’s Office) for the new card.
- All library materials to be borrowed should be loaned out and recorded at the Circulation Counter. The user should present his valid Library Card upon borrowing. Borrowing by proxy and authorization letter is not allowed.
- No borrower may pass on loaned item/s to others. Borrowed items remain the responsibility of the borrower at all times.
- All items or library materials must be returned ON or BEFORE the due date indicated in the book card or as advised by the staff on duty.
- If a returned book is found to be defective (w/ mutilated pages, unnecessary markings, etc., the attention of the borrower shall be made before the said book is lent to the next borrower.
- Borrowed library materials are subject to recall upon expiration of the loan period or at anytime if needed by other users.
- Students with overdue materials or outstanding accounts are not allowed to borrow until the accounts are settled and the overdue books are renewed or returned.
- Theses & Dissertations are to be used inside the library only and are strictly not to be photocopied.
- General References such as encyclopedias, dictionaries, atlases and journals, magazines or periodicals are to be read inside the Reference & Periodical Section only.
- Anyone found guilty of stealing and mutilating any library material will be subject to disciplinary action sanctioned by the university based on the Student Handbook depending on the gravity of the offense.
- Students should keep in touch with announcements posted on the Bulletin Board located at the entrance of the Library.
- Prior to Final Examination week and after the deadline for returning of books is set, General Circulation books are considered Reserve.
LOAN PERIODS
Students may borrow five (5) books at a time and may renew them if no one is in need of these items. A book may be renewed once only to give others the opportunity to borrow/use these book/s. The following are the number of books that can be borrowed on specific category and the number of days the item/s maybe kept.

CONDUCT IN THE LIBRARY
- SILENCE must be observed at all times. Talking must be done in subdued tone. All library users are expected to respect the rights of others to study in a quiet and conducive atmosphere. It is the library staff’s responsibility to enforce the rule of silence.
- Sleeping or lying on the table/chair/floor, eating, smoking & drinking are strictly phohibited.
- Books in the reading area should NOT be returned to their shelves after use but they must be left on the tables (to avoid their being misplaced).
- Library users should always keep things in order. Every user is expected to return the chairs to their proper places before leaving the library. Everybody is enjoined to always keep the library clean and orderly.
- Cell phones must be switched to silent mode while inside the library premises.
- Responsible conduct must be observed at all times. Students who engage in disruptive and inappropriate behavior will be asked to leave the library.
- Users are obliged to follow special regulations regarding the use of certain library facilities.
CONTROL POLICIES
- Library users should deposit their bags & other paraphernalias in the depository counter before entering the library. However, valuables such as wallets, calculators & cellphones may be carried inside the library premises. Users are advised to take care of their valuables. Library staff will not be responsible for any loss of valuables and other personal belongings of the researchers.
- Students should wear their valid Identification Card upon entering the library and during her/his stay in the library.
- Upon exit, library users (faculty, students & other researchers) are required to their folders, books, notebooks & other kind of receptacles Student Assistant/Checker. This is the Standard Operating Procedure in an Open Stack System.
- Students are not allowed to take out Overdue books until these are renewed.
FACULTY GUIDELINES
- Old faculty members are expected to present their valid AQ Faculty I.D. upon entering the library. New and Part-time faculty members who have not yet secured their I.D. may present a certification or endorsement letter from the Dean of the department/college where they belong.
- Faculty members may bring their bags inside the library but are required to open and show the contents of their bags to the student assistant upon exit. This is the standard operating procedure in an open stack system.
- Faculty members are encouraged to actively participate in the selection of books for the library. Request Forms for recommended books and other library resources are available at the Circulation Counter or from the Office of the Dean/Department.
- Bibliography of newly processed/acquired books & other library materials is posted on the Library Bulletin Board. The new books/materials are displayed on separate shelves for 2 weeks. Likewise, the departments/colleges are furnished with copies of the List of New Acquisitions on a quarterly basis. Members of the faculty are given the priority to examine and borrow these books.
- Faculty members are expected to present their valid AQ Faculty I.D. & accomplish the Faculty Logbook upon borrowing library materials (until the official faculty list will be available). Full-time faculty may borrow 5 books for a semester and additional 2 books for a period of one month. Part-time faculty may borrow 4 books for one month and may renew these books every month until the semester ends.
- Faculty members are also charged with overdue fines based on the policy stated above. They cannot borrow additional materials until the overdue library materials are returned or renewed. Books to be renewed should be brought to the library for proper processing and recording. Likewise, they are required to return borrowed materials on or before the scheduled clearance time.
- Faculty can request to place some books on the Reserved Section from another section for their student's collateral reading. Forms for this purpose are available at the Reserved Section and the Circulation Desk.
GUIDELINES FOR OUTSIDE/VISITING RESEARCHERS
Students from other schools as well as researchers from other institutions are allowed to use the library materials upon presentation of the following to the Information/Circulation Desk:
- A validated school/office ID.
- A Referral Letter issued by the Librarian or Administrator of the institution.
- Receipt of payment of P20.00 (Researcher’s Fee) per person/per visit, paid at the Cashier’s Office.
Accomplish the Researcher’s Logsheet available at the Circulation Desk/Reference Desk. (This also applies to those who are exempted from payment)
As a general rule, all materials are for ROOM USE ONLY.
The Fee does not include access to the Internet & use of AV materials.
The Chief Librarian or the Librarian-In-Charge reserves the right to cancel requests when necessary.
Only bonafide students & faculty of AUL are exempted from paying the Researcher’s Fee.
